Documents stored in Google Drive, Dropbox, and OneDrive can be linked on GivingData records. Only existing documents can be linked. GivingData Document Management and Linking Options Overview provides additional context on both document linking and the available document management options.
Contact your Implementation Manager or Client Success Manager to enable document linking. IT involvement from your organization is not required.
If your GivingData site has the OneDrive Premium Document Management integration configured, OneDrive document linking cannot be enabled.
Single Sign-On (SSO) is not required for your GivingData site in order to enable document linking. When opening a linked document from GivingData without SSO, the user is asked to authenticate with Google, Dropbox, or OneDrive.
Link a Document
Follow the steps below to link a file stored in Google Drive, Dropbox, or OneDrive on a GivingData record.
- Navigate to the record on which you want to link the document, and then click the Documents tab.
- Click Add New Document, and then click From Google Drive, From Dropbox, or From OneDrive.
- Depending upon the record type, a prompt appears to select the record to which this document will be assigned.
- Complete the applicable fields, and then click Save.
- File - Click Select File, and then select the file in the Google Drive, Dropbox, or OneDrive modal that appears.
- Title - Enter a title for the document.
- Type - Select the document type.

Notes - Optionally enter any notes related to the document. These are visible when viewing the document properties.
The document is now linked on the GivingData record.
- The icon indicates from which environment the document is linked.
- Click the document title to view the document in a new tab.
- Click the double arrow icon next to the linked document to view or edit the document properties, such as the title, document type, and notes.
Unlink a Document
A linked document can be unlinked on a GivingData record as needed.
If a linked document is deleted in Google Drive, Dropbox, or OneDrive, the link in GivingData remains unless it is manually removed. If a user clicks the link, they will receive an error message that the document no longer exists.
- Navigate to record, and then click the Documents tab.
- Click the trash can icon next to the linked document.
- This removes the link from the GivingData record, but does not affect the document in Google Drive, Dropbox, or OneDrive.
