Super docs are available with the Pro and Enterprise subscriptions.
Super docs allow you to generate a document for an organization, request, payment, or requirement record that incorporates different types of information and editable fields. These documents are interactive with your GivingData site. Unless downloaded and shared externally, super docs are only accessible within your GivingData site for internal purposes. Because multiple GivingData users can access and update a super doc, they are often used for collaborative purposes.
Common uses for super docs include:
- Internal request review
- Compliance checklist
- Grant recommendation summary
A super doc can include mapped fields from the record or its related records. These fields can be configured as dynamic, meaning updates to a field on the record automatically update on the document. Many of these fields can also be configured to allow edits made in the document to also update on the record.
Standard fields can also be added to a super doc. These fields are populated directly on the document and do not map to any fields on GivingData records. List views can be added to display related data, such as a list of your funding history for an organization.
Build a Super Doc Template
Build a super doc template, which can then be used to generate super docs for records. First, add the super doc template, and then edit it to add content such as editable fields and list views.
A user needs the Manage Super Doc Templates permission enabled to add and edit super doc templates.
Add a Super Doc Template
- Click the gear icon in the navigation menu.
- Click Documents.
- Click Super Doc Templates.
- Click Add New Super Doc Template.
- Select the Object Type for which this template will be used.
- For example, selecting Request means this template will be available when generating a super doc on a request record.
- For example, selecting Request means this template will be available when generating a super doc on a request record.
- Complete the fields, and then click Save.
- Template Name - Enter a name for the super doc template. This also becomes the default title for super docs generated using this template.
- Document Type - Select the default document type for super docs generated using this template. Available document types are configured in Admin Tools & Settings.

Page Orientation - Select the desired layout of super docs generated using this template.
Edit a Super Doc Template
- Click the gear icon in the navigation menu.
- Click Documents.
- Click Super Doc Templates.
- Click the super doc template title.
- Click Add Content, and then click the content type to add.

Add document content.
- Content - Enter the content to display on a super doc generated using this template, using the rich text and image options as needed. This is commonly used to provide instructional text, background context, and to add section headers in the document.
- Content Editable in Document - Select Yes to allow this content to be edited directly on a super doc generated using this template.

Width - Click the desired width option for how this content should be displayed on a super doc generated using this template.
Add an editable field. The standard and mapped field options are detailed below.
Add a standard field. This type of field does not map to any fields on GivingData records. It exists only on super docs generated using this template. Select the type of field to add, and then complete the applicable fields.
- Label - Enter the label to display for this field.
- Width - Click the desired width option for how this list view should be displayed on a super doc generated using this template.

Font Size - Select the desired font size for this field and its value.
Add a mapped field. This type of field maps from the super doc to a field on a record in your GivingData site. The available fields to add depend upon the object type selected for the template and follows the data structure. For example, a request template has both organization and request fields available to add.
The current value in the field from the GivingData record populates in the field on the super doc when it is generated. The field can be configured to dynamically update on the super doc when the field is updated on the record. Depending upon the field, it can also be configured as editable on the super doc, which also updates the field on the record.
- Mapped GivingData Field - Choose the field to add from the selected record type.
- Label - Enter the label to display for this field.
- Dynamic - If Yes is selected, the value in this field on a super doc automatically updates if the value in the field is updated on the record. If No is selected, a super doc displays the value in the field from the record at the time the super doc is generated, and does not reflect any updates made on the record.
- Mapped Field Editable From Document - This option is only available for certain fields (refer to the Mapped Fields Editable From Document section for a list of these fields), and the field must also be set as dynamic. If Yes is selected, the field’s value can be edited directly on a super doc, which also updates the field’s value on the record.
- Width - Click the desired width option for how this list view should be displayed on a super doc generated using this template.

Font Size - Select the desired font size for this field and its value.
Add a data view to display the results of a filtered search in a list view format.
- Object Type - Select the type of object data to display in the list view. For example, if Organization is selected, the results in this list view will be organization records.
- Title - Enter the title to display at the top of the list view on a super doc generated using this template.
- Width - Click the desired width option for how this list view should be displayed on a super doc generated using this template.
- The steps for selecting criteria and editing the list view column options are the same as when running a super search. Super Search contains guidance for these steps.
If fields such as Request Title or Organization Name are included in the list view, a user can navigate directly to other records in the site by clicking the linked text. These links are also functional if a generated super doc is exported in a PDF format.
Add a page break.
- A page break inserts at the bottom of the super doc template. Drag and drop the page break to the desired location on the template. This page break applies when printing a super doc generated using this template or exporting it as a PDF.

Generate a Super Doc on a Record
Once a super doc template is created, it can be used to generate a super doc on an organization, request, payment, or requirement record.
- Navigate to the record, and then click the Documents tab.
- Click Add New Document, and then click From Super Doc Template.
- Depending upon the record type, a prompt appears to select the record to which this super doc will be assigned.
- Complete the applicable fields, and then click Save.
- Select a Super Doc Template - Select the super doc template from which to generate the super doc. Available templates are those that match the record type.
- Title - Edit the default title for the super doc as necessary.
- Type - Edit the default document type for the super doc as necessary.

Notes - Optionally enter notes related to the super doc. These are visible when viewing the super doc properties.
The generated super doc is then visible in the list of documents for the record. Click the title to view the super doc.
- Click Edit, and then update any editable fields as needed.
- The document saves automatically.

- Click Preview to view the super doc without making changes.
- Click Export as PDF to export the super doc in a PDF format, or click Print to print the super doc.

- Click the dropdown icon, and then click Edit Properties to view or edit details related to the super doc.
- Click the dropdown icon, and then click Lock Document to lock the super doc from editing. Click Unlock Document to unlock it and allow editing.
- When a super doc is locked, document content and mapped fields cannot be edited. Dynamic mapped fields are not updated in the super doc if the field values change on the record.

- Click the trash can icon to delete the super doc.
A user needs the Lock/Unlock Super Docs permission enabled to lock or unlock super docs from editing.
Manage Super Doc Templates
Navigate to the Documents page in Admin Tools & Settings to manage existing super doc templates.
- Click the gear icon in the navigation menu.
- Click Documents.
- Click Super Doc Templates.
Several options are available to manage super doc templates.
- Click a super doc template title to edit or add content to it.
- Content cannot be deleted from a template if super docs generated using the template contain the content. The generated super docs must first be deleted.
- New content or edits to existing content are not reflected on super docs already generated using the template.
- Click the double arrow icon next to a template to edit the template name, document type, or page orientation.
- Click the dropdown icon next to a template, and then click Duplicate Super Doc Template to create a copy of the template.
- The copy can then be edited without affecting the original template.

- Click the dropdown icon next to a template, and then click Set as Inactive to deactivate it.
- Inactive templates do not appear in the available list when generating super docs. Inactive templates are hidden by default on the Document Settings page but can be revealed by checking the box for Include Inactive Document Templates.
