A document or super doc can be uploaded in batch to multiple records from an organization, request, payment, or requirements super search. For example, a board approval PDF could be uploaded to all relevant grants at once, rather than one record at a time. A batch uploaded document can either be created from a template or uploaded directly from your computer.
- Run an organization, request, payment, or requirement super search to generate a list of the relevant records.
- Check the box next to each relevant record.
- Click All Actions, and then click Add Document or Add Super Doc.
- Complete the fields, and then click Update.
- File - If uploading a file, select the file from your computer.
- Select a Template - If creating from a template, select the document template to use.
- Select a Super Doc Template - If adding a super doc, select the duper doc template to use. The Filename and Include Record ID in Filename fields are not visible when adding a super doc.
- Title - Edit the default title for the document as necessary.
- Type - Edit the default document type for the document as necessary.
- Filename - Edit the default file name for the document as necessary.
- Include Record ID in Filename - If checked, the record ID (e.g., request ID) is added to the end of the filename for each record, making the files easier to identify later.
-
Notes - Optionally enter notes related to the document. These are visible when viewing the document properties.
The system displays a notification when the batch action is complete.
