Coming April 25, 2026! This update brings Template deactivation for Documents and Workflows, Workflow Template duplication, various improvements, and bug fixes! Let’s dive in!
What’s New?
️⭐ Duplicate a Workflow Template
You can now duplicate a workflow template to quickly create a copy of an existing workflow template, making it more efficient to build new workflows that share a similar structure. The duplicated template includes all tasks from the original and is automatically named with "(Copy)" appended to distinguish it from the source. The option to delete a workflow is now under the split edit/drop down button, where you will find the option to Duplicate a workflow.

⭐ Deactivate a Workflow Template
Workflow templates can now be deactivated, giving administrators the ability to retire templates without permanently deleting them. Users with the "Manage Workflow Settings" permission can set a template as inactive or active from the Workflow Settings page using the split dropdown button on each template. Inactive templates are hidden by default in Workflow Settings but can be revealed by checking "Include Inactive Workflow Templates." When displayed, they appear in italic text with an "(Inactive)" label for easy identification. Deactivated templates will no longer appear in the Add Workflow modal on a request or in the Batch Add Workflows modal in Super Search, preventing users from selecting retired templates.

⭐ Deactivate a Document or Super Doc Template
Document templates and Super Doc Templates can now be deactivated, allowing administrators to retire outdated templates without deleting them or the documents previously created from them. Users with the "Manage Document Settings" permission can mark a template as inactive or active from either the Document Template Properties modal or the "Manage" dropdown in the admin table. Inactive templates are hidden by default in the Document Templates admin table but can be revealed using an "Include Inactive" toggle; when shown, they appear in italic text with an "(Inactive)" label for easy identification. Deactivated templates are automatically removed from all selection dropdowns where users would normally generate documents, including the Add Document modal, the Batch Add Document modal, and workflow task template configuration. Templates can be reactivated at any time to restore them to normal use.

⭐ External Review Form Conditionally display fields and pages
External review forms now support conditional logic, allowing administrators to configure fields and entire pages to show or hide based on a reviewer's responses. This brings the same conditional display functionality already available on other form types (intake, report, submission, and active grant forms) to the external review process.

⭐ External Review Rating Scales – Updated logic!
External reviewer rating scales now ensure that previously submitted review data is preserved when rating values are updated or deleted by an administrator. Prior to this change, if a rating scale value was modified or removed in settings, review forms that had already been submitted using that value would lose the history of the original scale. With this update, completed review forms retain the rating values that were in effect at the time of submission, regardless of subsequent changes to the rating scale configuration.

🐛 Notable Bug Fixes
Each release includes bug fixes to enhance stability and improve your experience. Here are some key fixes:
- Excel Formatting: When adding additional date fields to Super Search columns, the date values displayed correctly on screen but exported to Excel with incorrect formatting. The fix corrects the formatting logic for additional date and datetime fields on export, and also adds the ability to apply custom date formats to additional fields.
- Intake Form Data Import: When importing data submitted through the grantee portal, the organization address field was always flagged as changed even when the submitted value matched the current value on record. The comparison logic for address fields has been corrected so that matching addresses are no longer incorrectly highlighted during import.
- Conditional Dropdown on Intake Form: Conditional dropdown fields on intake forms were displaying null values for existing field entries, causing confusion for clients. The issue has been resolved so that conditional dropdown fields correctly display their saved values.
- Workflow Dashboard Alert Column: Alert indicators were not appearing in added columns on the Workflow Dashboard. The issue has been fixed so that alert indicators now display in added columns on the Workflow Dashboard.
- MEL (Assessment Values): Assessment values were incorrectly appearing in the grantee portal form during editing when the Assessment Group was not included in interim outcomes, causing staff confusion. The display logic has been corrected so that assessment values only appear when the relevant Assessment Group is part of the record.
- Decline Request from Workflow Task Completed Action Status Change: When a workflow task's completion action was configured to change the request status to a declined status, the designated declined status was not available to select upon task completion. The fix ensures that declined statuses now appear correctly in the status selection when triggered by workflow task completion actions.
- Emulate User: The Emulate User button threw a console error and failed to function when a contact did not have an email with the preferred checkbox enabled. The fix adds proper null handling so that the emulate user feature works correctly regardless of the contact's preferred email setting.
- Saved Search Delete Error: Attempting to delete a saved Super Search produced a foreign key constraint error when other records in the database referenced the search. The delete operation now properly handles related references, allowing saved searches to be removed without error.
- Currency Field Export: When additional currency fields were added to Super Search columns with custom formatting, the currency formatting was not applied on export to Excel. The export logic has been updated to correctly apply currency formatting (including symbol, decimal, and comma settings) for additional currency fields.
- Merge Table Currency: Payment merge tables were displaying currency values in US Dollars instead of the configured currency (e.g., British Pounds), and duplicate tables were also appearing. The merge table rendering has been corrected to use the proper currency symbol for the site's configured currency.
- Edit Super Doc Templates: Users were unable to edit the properties of Super Doc templates after initial creation, as the edit option was missing from the interface. The edit properties option has been restored so that administrators can update template titles and other properties after creation.
- Custom Field Long Text Display: Calculated custom fields containing long text were not wrapping properly on request records, causing the content to be truncated and unreadable. The display formatting has been updated so that long text values in calculated custom fields now wrap correctly and show their full content.
